Description
Key Responsibilities
Inventory Control & Record Management
• Maintain accurate records of raw materials (sheets, acrylics, paints, hardware, etc.), finished goods, and semi-finished components.
• Create and update material usage logs for each project or work order, including cutting wastage and off cuts.
• Track batch codes and color variants of acrylic sheets and paint to ensure traceability.
• Monitor daily material consumption vs. production output, ensuring that variances are justified.
• Ensure real-time posting of stock movements (receipts, issues, returns, and transfers) in the system.
• Perform cycle counts and weekly reconciliations of key raw materials to match physical stock with system records.
• Maintain proper labelling and bin location mapping for each material type (sheet size, color, thickness, etc.).
• Escalate any discrepancies or stock shortages immediately to the Workshop Supervisor and Procurement team.
Receiving & Warehouse Coordination
• Inspect and verify the dimensions, type, and color of incoming sheets/acrylics against purchase requests and supplier invoices.
• Record all incoming materials in the system, tagging them with GRN (Goods Receipt Note) reference numbers.
• Ensure proper storage conditions (flat stacking for sheets, upright storage for long materials, safe chemical storage for spray paint).
• Coordinate with cutting and assembly teams to issue materials based on approved job cards.
• Maintain a separate record and physical area for damaged, defective, or leftover materials.
• Ensure safe handling and proper PPE usage during unloading, cutting, and movement of materials.
• Coordinate timely transfer of finished assemblies to production or dispatch zones.
Reporting & Analysis
• Prepare daily material usage vs. work order output report (consumption analysis).
• Submit weekly stock position reports showing available, reserved, and damaged stocks.
• Track wastage percentage per production batch and highlight any deviation from standard limits.
• Maintain and analyze re-order level reports for key materials (sheets, paints, adhesives).
• Generate monthly reconciliation reports for management, highlighting trends in consumption and wastage.
• Maintain inventory KPIs such as stock accuracy, consumption variance, and on-time issuance rate
Compliance & Support
• Follow standard inventory and warehouse procedures to maintain efficiency.
• Ensure compliance with occupational safety and health guidelines.
• Assist in filing claims for defective or returned products when required.
• Provide support to cross-functional teams (Category, Sales, Procurement) in product availability and timely order fulfilment.
