Description

A Document Controller ensures critical project information is organized, accurate, and accessible—acting as the gatekeeper for all documentation. This career path spans multiple industries, with demand growing as projects become more complex and digital .

Core Responsibilities

System Management: Implement and maintain Electronic Document Management Systems (EDMS) like SharePoint, Aconex, or Autodesk Construction Cloud; manage user accounts and permissions .
Quality Assurance: Enforce naming conventions and version control; verify metadata and compliance before document distribution; ensure audit trails .
Workflow Support: Manage RFIs, submittals, and transmittals; track approvals and overdue items; generate status reports .
Training & Liaison: Act as point of contact for document queries; train team members on procedures; liaise between clients and contractors .

Career Progression

Entry-Level: 0–2 years experience; focuses on scanning, data entry, and basic admin tasks. A high school diploma is often accepted .
Professional Level: 2–5 years experience; runs the EDMS independently, manages workflows, and mentors juniors .
Senior Level: 7–15+ years experience; leads strategy, manages teams, performs data migrations, and often requires system-specific "super user" expertise .

Essential Skills & Software

Technical: Proficiency in MS Office (Excel) is standard. Specialization requires EDMS expertise: OpenText, Aconex, Viewpoint (4Projects), BIM 360, or SharePoint .

Soft Skills: Extreme attention to detail, organization, problem-solving, and communication are critical .
