Description

Manage calendars, schedule meetings, and coordinate travel arrangements; handle meeting logistics and reminders.

Handle correspondence and communications (emails, calls, inquiries) with professionalism and discretion.

Prepare, format, and edit documents (memos, reports, presentations) as requested.

Support office operations: filing, data entry, ordering supplies, and maintaining a clean, organized workspace.

Assist with project coordination: track tasks, deadlines, and follow up on action items.

Support HR/onboarding tasks as needed (new hire paperwork, orientation logistics, etc.).

Coordinate with internal teams and external vendors to ensure timely completion of tasks.

Maintain confidential information and handle sensitive material with discretion.

Provide backup reception support if required (phone etiquette, visitor management).

Typical Qualifications

High school diploma or equivalent; relevant certificate or associate degree can be a plus.

Proficiency with office software (Microsoft 365/Google Workspace, Word, Excel, PowerPoint); familiarity with collaboration tools (Teams, Slack).

Strong organizational and time-management skills; ability to multitask and prioritize.

Excellent written and verbal communication; professional phone and email etiquette.

Attention to detail and accurate data entry.

Ability to handle confidential information and maintain discretion.

Experience in an administrative or support role is preferred.
