Description

Job Purpose

The Document Controller is responsible for developing, implementing, and maintaining an organized document management system to ensure that all project and corporate documentation is accurate, up to date, and easily accessible. This role ensures that all stakeholders have timely access to the latest revisions of project documents and records in compliance with company and industry standards.

Key Responsibilities

Maintain a comprehensive and structured document management system (both electronic and physical) for all project documentation and certificates.
Register, track, and distribute documents to ensure that the latest revisions are available to all stakeholders.
Perform data entry, typing, formatting, and editing of documents, reports, and certificates, ensuring accuracy and compliance with company standards.
Control and secure confidential documentation, ensuring compliance with internal policies and confidentiality requirements.
Update, archive, and retrieve project records in a timely and organized manner.
Design and maintain templates and filing systems for various types of project documents and correspondence.
Manage material packages and ensure accessibility of related documentation for concerned personnel.
Oversee the secure destruction and disposal of sensitive or obsolete documents.
Maintain and update a contact list for internal and external training providers and record trainers’ feedback.
Prepare data analysis, dashboards, and reports using Excel (including use of macros and advanced formulas).
Collaborate with project teams to track document reviews, revisions, and approvals throughout the project lifecycle.
Perform additional duties as assigned by the immediate manager.
Qualifications & Requirements

Education:

Diploma in Business Administration, Office Management, or a related field.
Experience:

Minimum 8 years of experience as a Document Controller, preferably in the Petrochemical or Industrial Projects sector.
Strong understanding of Information Management Standards and project documentation processes.
Technical Skills:

Proficiency in MS Office (Excel, Word, PowerPoint) — advanced Excel skills required (macros, data validation, pivot tables, and dashboard creation).
Familiarity with document management systems (DMS) and software.
Excellent data organization, analytical, and communication skills.
Ability to manage large volumes of documentation efficiently and accurately.
