Description

 

Organize and maintain General Manager & his calendar of scheduled appointments, conferences and meetings.

Organize the work and follow-up for GM and Management.

Deal with other department to organize the work and ensure all assigned task are cone on timely and efficient manner.

Receive and screen phone calls and redirect them when appropriate.

Checks and proofreads correspondence, reports and other documents to ensure accuracy and complete documentation prior to signature or initial of the signatory.

Prepares correspondence from short notes or verbal instructions.

Arranges meeting, prepares agendas and takes minutes of the meeting of various meeting and sessions.

Prepares and maintains confidential correspondences, company memorandum, circulars, files, report, and presentations.

Maintain electronic and paper records, ensuring information is organized and easily accessible.

Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.).

Responsible for all travel and accommodation arrangements for Executive.

Organize internal and external events.

Ensures that the offices are presentable.

Performs other related duties or assignments as directed.

Providing secretarial support for several projects.
Your profile

Degree in any business administration or relative field

Minimum of 5 years’ experience as executive secretary or similar administrative role

Well-versed in secretarial function

Knowledgeable with basic research methods and reporting techniques

Excellent knowledge in Microsoft office program and other relevant office software or system

Outstanding communication and negotiation abilities and Fluent in English both in oral and written & knowledge of Arabic is an added advantage.

Must be professional with great time-management, multi-task, and can handle confidential files and documents

Must have excellent customer service skills and the ability to quickly establish a rapport with people.

Can establish and maintain effective working relationships with team/unit.
