About the Studio
Josh Stone Design Studio is a boutique, high-end interior design practice based in London, with projects spanning the UK, Bahrain, USA, Switzerland, and Saudi Arabia. Known for its layered, timeless aesthetic and attention to craft, the studio works across residential, hospitality, and commercial sectors. As we expand our presence in the Middle East, we’re looking for an organised and dependable Administrative Assistant to join our growing Bahrain-based operations.
The Role
This is a key support role, ideal for someone with exceptional organisational skills, strong attention to detail, and the ability to manage multiple streams of information. You’ll be working closely with our Design Director Josh to prepare and maintain documentation, communicate with suppliers, and help deliver well-structured, professional project schedules and client materials. The role is remote for now, with the intention of transitioning to our new Bahrain office when it opens (we are in discussions with regards to an office space temporarily until the new office is complete). Project work will be international and worldwide (not just limited to the local market).
We have an internal drafting and 3D team so this role does not necessitate a great deal of drawing and Autocad/Revit work, however an understanding of drawing packages, detailing, and interior design/architectural drawings is essential. Ideally you would have experience in Autocad/Revit and so be able to adjust drawing works and plans where required without the assistance of the main drafting team.
Key Responsibilities
Excel Schedules & Specification Documents: Create and manage detailed Excel documents listing all project items including furniture, lighting, finishes, bathroom fittings, and fabrics. You’ll be working from floor plans and designer input to ensure accuracy and consistency.
Client Quotation Documents: Prepare clear, image-led quotation documents using Excel and Esti-PC software, listing specifications, descriptions, suppliers, finishes, and pricing for all client items.
Reading & Interpreting Layout Plans: Confidently read floor plan layouts to extract information needed for scheduling and documentation—ensuring each item is aligned with the design scheme.
Supplier Communication: Liaise with suppliers via email to request trade pricing, confirm stock and lead times, and request product samples. Track responses and maintain records clearly.
Product Research & Specification Sheets: Source product details and download specification sheets or technical documentation from supplier websites for fixtures, lighting, fabrics, and materials.
Project Support & Team Collaboration: Work closely with the design team to support internal schedules and client documentation. Be responsive, communicative, and meticulous in how you handle and record data.
Skills & Requirements
Strong proficiency in Microsoft Excel and Word (Google Sheets and Docs also useful)
Confident in reading and understanding floor plan layouts
Highly organised and detail-oriented
Clear and professional written communication skills, especially over email
A understanding and interest in Interior design or architecture is helpful; curiosity and a problem-solving mindset are essential
Comfortable working independently and collaboratively within a small, fast-paced team
