Description

We're looking for a highly organized, detail-oriented, and proactive Operations Coordinator to join our team. This pivotal role ensures the smooth and efficient day-to-day operations of our organization, with a strong focus on warehouse, fleet, and inventory management. You'll provide essential support to the Operations team, leveraging strong product knowledge and ERP software proficiency to optimize processes, coordinate activities, and facilitate seamless communication across departments. Key Responsibilities:-

Operational Support & Coordination:

- Assist in planning, coordinating, and executing daily operational activities and special projects.
- Monitor operational workflows, identify areas for improvement, and support efficiency initiatives.
- Maintain and update critical operational documentation, policies, and standard operating procedures.
Coordinate schedules, meetings, and appointments for the operations team, ensuring timely execution.
- Liaise effectively with internal departments (e.g., Sales, Finance, HR, IT) and external vendors/partners for seamless operational flow.
- Track, analyze, and report on key operational metrics and KPIs.

Warehouse Management:

- Support daily warehouse operations, ensuring efficient and accurate receipt, put-away, picking, and packing.
- Assist in optimizing warehouse layout and space utilization to maximize capacity and workflow.
- Ensure adherence to all safety protocols and compliance regulations within the warehouse.

Fleet Management:

- Coordinate and support aspects of the company's vehicle fleet, including scheduling routine vehicle maintenance and repairs to minimize downtime.
- Assist with route planning and optimization to improve delivery times and reduce fuel consumption.
- Help ensure regulatory compliance for vehicles and drivers (e.g., licensing, safety standards).

Inventory Management:

- Oversee the entire lifecycle of inventory, from procurement to dispatch, to ensure optimal stock levels.
- Assist in forecasting demand and implementing robust inventory control systems for high accuracy.
- Track inventory movement, manage stock levels, and optimize storage and retrieval processes to balance availability with cost-effectiveness.

Product Knowledge & ERP Software Utilization:

- Develop and maintain thorough product knowledge of our offerings, including specifications, features, and applications, for accurate handling and support.
- Utilize and maintain proficiency in our ERP software for inventory, procurement, sales, and logistics modules.
- Ensure accurate data entry, reporting, and process automation within the ERP system.

Administrative & Communication:

- Perform general administrative duties, including filing, data entry, preparing reports, and managing correspondence.
- Maintain accurate records and databases related to operational activities, inventory, and resources.
- Process invoices, expense reports, and purchase orders related to operations.
- Act as a central point of contact for operational inquiries, providing timely and accurate information.
- Facilitate effective communication channels within the operations team and across the organization.
- Proactively identify and resolve operational issues, escalating complex problems to the Operations Manager when necessary.

Qualifications:-

- Bachelor's degree in Business Administration, Operations Management, Logistics, Supply Chain, or a related field (preferred). Associate's degree or relevant certifications with proven experience will also be considered.
- 1-3 years of experience in an operations support, administrative, or coordination role, with exposure to warehouse, fleet, or inventory management.
- Demonstrated strong product knowledge or the ability to quickly learn complex product specifications.
- Proficiency in ERP software is highly preferred. Experience with other integrated business management systems will also be considered.
- Strong Organizational Skills: Exceptional ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
- Attention to Detail: Meticulous and accurate in data entry, record-keeping, and document preparation.
- Communication Skills: Excellent written and verbal communication abilities, with a professional and articulate demeanor.
- Problem-Solving: Proactive and resourceful in identifying and resolving operational challenges.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Team Player: Ability to collaborate effectively with diverse teams and individuals.
- Adaptability: Flexible and able to adjust to changing priorities and business needs.
