Description

Brief Summary

We are seeking a meticulous and experienced Payroll Coordinator to manage the end-to-end payroll process for our dynamic workforce in the facilities management and construction industries. The ideal candidate will be an expert in handling complex payroll scenarios, including union deductions, certified payroll, prevailing wage, and multi-state taxation. You will ensure accurate and timely payment to our employees, including field technicians, project managers, and construction crews, while maintaining strict compliance with all federal, state, and local regulations.

Roles & Responsibilities

Payroll Processing & Administration:
• Process multi-state, bi-weekly, or weekly payroll for a large, hourly workforce accurately and on time.
• Collect, verify, and process timekeeping data from various sources.
• Calculate hours, overtime, shift differentials, double-time, and other special pay arrangements common in 24/7 facilities management and construction projects.
• Handle off-cycle payments, bonuses, and manual checks as needed.
• Manage employee deductions for benefits, garnishments, and union dues.
• Prepare and submit Certified Payroll Reports for public works projects.
• Ensure compliance with Prevailing Wage laws, accurately applying correct wage determinations and fringe benefit rates.
• Administer and report on multiple Union Benefit Plans, ensuring contributions are calculated and remitted accurately and on schedule.
• Stay current with federal, state, and local payroll tax laws and regulations.
• Maintain and update the payroll system with employee information, pay rates, job codes, and work locations.
• Generate standard and ad-hoc payroll reports for management, accounting, and project costing.
• Reconcile payroll general ledger accounts and assist the accounting team with month-end close processes.
• Track and report on labor costs by project, job site, or contract.
• Resolve payroll discrepancies promptly and confidentially.
• Participate in the implementation and maintenance of the payroll and timekeeping systems.
• Ensure data integrity and security in all payroll operations.

Qualifications & Experience

Required:
• Experience: 5+ years of hands-on payroll processing experience, with at least 2 years in the construction, facilities management, or a related industrial sector.
• Technical Skills: Proficiency with major payroll software SAP, Advanced skills in Microsoft Excel (pivot tables, VLOOKUPs).
• Associate's or Bachelor's degree in Accounting, Finance, or Business Administration.
