Description

Job Responsibilities

Daily Office Management:
Organizing and scheduling appointments for the Executive Operations Manager for both internal and external meetings.
Preparing weekly and monthly agendas and following up on updates.
Receiving visitors, clients, and suppliers professionally and scheduling their appointments.
Communication and Correspondence:
Drafting and writing official letters, reports, and memorandums
Managing incoming and outgoing emails and paper mail, distributing them as instructed.
Coordinating with various departments to ensure the execution of directives from the Executive Operations Manager.
Meetings and Events:
Arranging meetings, booking rooms, and coordinating schedules.
Preparing minutes of meetings and following up on action items with relevant parties.
Preparing for official events and meetings with external stakeholders.
Decision Support:
Collecting and analyzing necessary information and data for decision-making.
Preparing periodic reports on the status of operations and ongoing projects.
Administrative Follow-up:
Monitoring the implementation of executive decisions with other departments and sections.
Managing administrative files and records using an organized and secure system.
Handling Sensitive Information:
Maintaining strict confidentiality of information and documents related to the Executive Operations Manager and senior management.
Travel and External Assignments:
Coordinating travel arrangements (flight and hotel bookings) and preparing the necessary travel documents.
Preparing travel itineraries and official visit schedules.
Monthly Reports and Statistics:
Preparing monthly summaries of operational or administrative performance as requested by the Executive Operations Manager.
Required Qualifications
Bachelor's degree in Business Administration, Executive Secretarial Studies, Office Management, or a related field.
At least 3-5 years of experience as an Executive Secretary or Administrative Secretary, preferably in large companies or the contracting industry.
Skills
Proficiency in using computer programs and Microsoft Office (Word, Excel, PowerPoint, Outlook).
High skills in drafting official letters
High organizational and time management skills.
Strong communication skills at all administrative levels.
