We are looking for a highly organized and proactive individual to join our team in Dammam and ensure the smooth administrative operations of our training courses.
The Role: Admin Assistant cum Coordinator
This is a pivotal, dual-role position responsible for managing the day-to-day administrative needs of the center while effectively coordinating all training-related activities. The ideal candidate will be the backbone of our office and the primary point of contact for our clients, trainers, and staff.

Key Job Duties & Responsibilities

1. Program Scheduling & Coordination: Manage and finalize the training calendar. Coordinate the availability of internal and external trainers, ensuring their travel, lodging, and logistical needs are met well in advance.
2. Document & Record Management: Maintain comprehensive and confidential student files, certification records, invoices, and general office documents, both physically and digitally.
3. Course Enrollment Management: Oversee the registration process for all courses, track participant numbers, process cancellation/transfer requests, and manage the waiting list.
4. Post-Course Follow-up: Collect and analyze course feedback forms (surveys), compile results for management review, and issue official certificates of completion promptly.
5. Reporting & Documentation: Assist the management team in preparing confidential reports, presentations, weekly activity logs, and meeting minutes.

Required Qualifications & Skills

• Education: Master's Degree required (preferably in Business Administration, Office Management, or a related field).
• Experience: Minimum of 4 to 5 years of relevant administrative or coordination experience, ideally within a training, education, or corporate environment.
• Technical Proficiency: Expert knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new scheduling/database software.
• Language Skills: Excellent communication (written and verbal) in English is essential.
• Personal Attributes: Highly organized, detail-oriented, professional, and a proven ability to multitask and manage time effectively in a fast-paced setting.
