Description

We are seeking a dedicated and organized Catering Secretary to provide administrative and clerical support to our catering department. The ideal candidate will handle correspondence, manage event documentation, coordinate schedules, and assist the catering team with daily operations to ensure smooth service delivery and customer satisfaction.

Key Responsibilities:

Handle phone calls, emails, and inquiries related to catering services.

Prepare quotations, event proposals, contracts, and invoices for clients.

Maintain accurate records of bookings, menus, client details, and event schedules.

Coordinate with chefs, service staff, and suppliers to ensure all event requirements are met.

Support the Catering Manager in day-to-day operations and administrative tasks.

Schedule and confirm appointments, meetings, and site visits with clients.

Manage filing systems and update catering calendars and reports.

Ensure timely communication between departments (kitchen, service, logistics).

Prepare and distribute internal memos, reports, and event summaries.

Maintain professionalism and confidentiality in handling client and company information.

Required Skills & Qualifications:

Diploma or Bachelor’s degree in Business Administration, Hospitality Management, or related field.

Proven experience (2–4 years) as a Secretary, Administrative Assistant, or Coordinator in a catering or hospitality environment.

Excellent communication skills in English (Arabic is an advantage).

Strong organizational and multitasking abilities.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other administrative software.

Attention to detail and ability to work under pressure during event periods.

Knowledge of catering procedures, menus, and hospitality terminology is preferred.

Preferred Qualifications:

Experience working in hotels, restaurants, or catering companies in Bahrain or GCC.

Customer service-oriented and able to handle client requests professionally.

Ability to work flexible hours, including weekends or holidays if required.
