Description

We are looking for a responsible and organized Chiller & Warehouse Supervisor to oversee the daily operation of our chilled warehouse and ensure that all stock is received, stored, handled, counted, and dispatched accurately and efficiently.

The successful candidate will be responsible for maintaining proper FIFO/FEFO stock rotation, monitoring chiller conditions, controlling stock movements, coordinating stock-in and stock-out activities, and ensuring that warehouse records match the physical inventory.

Key Responsibilities

1. Chiller Management

Manage the daily operation of the chilled storage area.
Monitor and record chiller temperature regularly and ensure it remains within required limits.
Ensure products are stored correctly according to product type and storage requirements.
Maintain cleanliness, hygiene, organization, and safety standards inside the chiller.
Report any temperature issues, equipment problems, damaged products, or other abnormalities immediately.
Ensure products are properly labelled and arranged for easy identification and access.

2. Stock Receiving / Stock-In

Supervise the receiving of incoming products.
Check quantities received against purchase orders, delivery notes, or invoices.
Inspect products for quantity, quality, damage, packaging condition, and expiry dates.
Record all stock received accurately in the inventory system or stock records.
Ensure newly received products are stored in the correct location promptly.
Identify and report shortages, excess quantities, damaged goods, or discrepancies.

3. Stock-Out / Dispatch

Control all stock leaving the warehouse.
Prepare and verify orders before dispatch.
Ensure the correct product, quantity, batch, and expiry date are picked.
Verify dispatch documents and ensure stock movements are recorded accurately.
Coordinate with delivery drivers, sales, purchasing, and other relevant departments.
Prevent unauthorized stock from leaving the warehouse.

4. FIFO / FEFO Stock Rotation

Maintain strict FIFO (First In, First Out) and, where applicable, FEFO (First Expired, First Out) procedures.
Organize products according to receiving date, batch number, and expiry date.
Regularly check products approaching expiry.
Report slow-moving, short-dated, expired, or damaged stock to management.
Ensure older/shorter-dated products are prioritized for dispatch where appropriate.

5. Inventory Control

Maintain accurate physical stock levels.
Conduct regular stock counts and cycle counts.
Investigate differences between physical stock and system records.
Monitor stock movements and ensure every movement is properly recorded.
Minimize stock losses, wastage, damage, and unexplained discrepancies.
Maintain accurate records of stock adjustments, returns, damages, and disposals.

6. Warehouse Organization & Team Supervision

Supervise warehouse staff and assign daily tasks.
Ensure staff follow proper receiving, storage, picking, and dispatch procedures.
Maintain an organized warehouse with clearly identified storage locations.
Ensure warehouse staff follow hygiene, safety, and company procedures.
Monitor staff performance and address operational issues promptly.
Train new warehouse employees on proper stock handling and warehouse procedures.

7. Reporting

Provide management with regular updates regarding:

Daily stock-in and stock-out.
Current inventory levels.
Stock discrepancies.
Damaged and rejected products.
Expiring and expired products.
Chiller temperature and operational issues.
Stock wastage and losses.
Any other warehouse or inventory problems.

Requirements:

Previous experience in warehouse, inventory, cold storage, food distribution, FMCG, or a similar environment.
Strong understanding of inventory control and stock management.
Practical knowledge of FIFO/FEFO.
Experience managing chilled or temperature-controlled products is preferred.
Good attention to detail and strong organizational skills.
Ability to supervise warehouse staff and manage daily operations.
Basic computer skills and ability to work with inventory/warehouse management systems.
Ability to perform physical stock counts and investigate discrepancies.
Good communication and problem-solving skills.
Reliable, disciplined, and able to take responsibility for warehouse operations.

The Warehouse Supervisor will be expected to maintain:

High inventory accuracy.
Minimal stock discrepancies and unexplained losses.
Proper FIFO/FEFO compliance.
Accurate and timely stock-in and stock-out records.
Minimal expired or wasted products.
Proper chiller temperature records and compliance.
Clean, organized, and safe warehouse conditions.
Accurate and timely order preparation.
Efficient receiving and dispatch operations.
