Description
We are seeking a detail-oriented, highly organized Document Controller with at least 5 years of experience to join our team. In this role, you will manage, track, and archive all technical, engineering, project, and commercial documentation in compliance with ISO standards and project specifications. You will serve as the central point of contact for controlling the workflow of engineering deliverables, submittals, correspondence, and project records across internal departments, clients, and subcontractors.
Key Responsibilities
Document Management & Control:
Establish, maintain, and oversee the Document Control System (EDMS) for engineering drawings, technical specifications, calculations, submittals, and project correspondence.
Register, log, and process incoming and outgoing documents (RFIs, Transmittals, Submittals, Method Statements, NCRs, and As-Built drawings) using defined coding structures and numbering conventions.
Quality check all incoming/outgoing deliverables for correct formatting, signatures, document numbering, and revision status prior to distribution.
Workflow & Coordination:
Coordinate the routing and review process of technical submittals between engineering, project management, clients, consultants, and vendors to meet strict project deadlines.
Maintain updated Master Document Registers (MDR) and Document Deliverables Registers (DDR) with real-time status updates.
Prepare and issue formal Transmittal Letters (incoming and outgoing) to ensure full traceability of project communications.
Compliance & Auditing:
Ensure full compliance with ISO 9001 (QMS) quality management policies and client-specific document control procedures.
Assist in internal and external quality audits by providing rapid access to accurate, up-to-date document records and audit trails.
Enforce security protocols regarding document access, classification, retention, and archiving schedules.
Archiving & Reporting:
Manage physical and electronic archiving, backup, and retrieval systems for active and closed projects.
Generate weekly and monthly document tracking reports, highlighting pending approvals, overdue reviews, and workflow bottlenecks for project managers.
Facilitate the final compilation and handover of project closing documentation, Operation & Maintenance (O&M) manuals, and As-Built packages to clients.
Requirements & Qualifications
Education: Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
Experience: Minimum 5 years of hands-on experience as a Document Controller, preferably within EPC, Water/Wastewater Treatment, or Industrial Engineering, sectors in Saudi Arabia.
Technical Skills:
Hands-on proficiency with Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Primavera Unifier, or similar enterprise tools.
High proficiency in MS Office (Excel, Word, Outlook, PowerPoint) and Adobe Acrobat Pro.
Deep understanding of technical document types (P&IDs, Isometrics, Single Line Diagrams, Vendor Data, Transmittals, and Data Sheets).
Language: Fluent in spoken and written English .
