Our client is seeking a highly organized, proactive, and discreet Executive Office Manager/CEO Assistant to provide comprehensive administrative and operational support to our CEO and the Executive Office.
This critical role requires exceptional attention to detail, a strong ability to anticipate needs, and the capacity to thrive in a demanding, high-profile environment.
Key Responsibilities:
Executive Support:
Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international), ensuring optimal time management.
Act as the primary point of contact for the CEO, screening and prioritizing incoming communications (emails, calls, mail) and responding professionally on their behalf when appropriate.
Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy, clarity, and adherence to company branding.
Coordinate and prepare materials for board meetings, executive team meetings, and investor calls.
Conduct research, compile data, and prepare summaries as needed for various projects and initiatives.
Manage confidential information with the utmost discretion and integrity.
Office Management:
Oversee the efficient operation of the Executive Office, ensuring a professional and organized environment.
Manage office supplies, equipment, and vendor relationships relevant to the executive suite.
Coordinate and organize internal and external company events, meetings, and conferences, including venue selection, catering, and logistical support.
Process expense reports, invoices, and other financial documentation for the CEO and Executive Office.
Serve as a liaison between the CEO and other departments, external partners, and high-profile individuals.
Qualifications:
A bachelor's degree or equivalent practical experience is preferred.
Minimum of 3 years of experience supporting C-level executives in a fast-paced environment, preferably within the entertainment, media, or related creative industries.
Exceptional organizational and time management skills with the ability to multitask, prioritize, and manage competing demands effectively.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar management software.
