About the Role:
We are seeking an organized and detail-oriented Garage Admin to manage the administrative operations of our garage/workshop facility. The ideal candidate will be responsible for coordinating maintenance schedules, managing spare parts inventory, tracking vehicle and equipment servicing, maintaining records, and supporting the workshop team to ensure efficient garage operations.
Key Responsibilities:
Maintain and update maintenance records for all vehicles, heavy equipment, and machinery (cranes, excavators, generators, trucks, etc.)
Coordinate and schedule routine servicing, preventive maintenance, and repairs with mechanics and supervisors
Track work orders, job cards, and service completion status for all equipment
Manage spare parts inventory including ordering, receiving, stocking, and issuing of parts and consumables
Maintain accurate records of parts consumption, reorder levels, and supplier information
Coordinate with procurement department for timely ordering of spare parts and workshop supplies
Prepare and maintain equipment history files including service logs, repairs, and costs
Track fuel consumption, oil changes, and lubricant usage for all vehicles and equipment
Assist in preparing maintenance budgets and cost reports
Coordinate vehicle and equipment inspections for insurance, registration, and regulatory compliance
Liaise with external service providers for specialized repairs or outsourced services
Maintain workshop consumables inventory including oils, greases, filters, and tools
Prepare monthly reports on equipment availability, downtime, and maintenance costs
Support workshop team with administrative tasks including filing, data entry, and document control
Coordinate with project sites for equipment mobilization and demobilization records
Ensure compliance with company policies and safety procedures in the workshop
Qualifications & Experience:
Diploma or Bachelor's degree in Business Administration, Logistics, or related field
Minimum 3-5 years of experience in garage administration, workshop coordination, or fleet management
Knowledge of vehicle and heavy equipment maintenance processes and spare parts
Experience with inventory management systems and maintenance software
Proficiency in MS Office (Excel, Word, Outlook)
Familiarity with heavy equipment and construction machinery (cranes, excavators, generators, trucks)
Understanding of preventive maintenance scheduling and work order systems
Fluency in English; knowledge of Hindi/Urdu or Arabic is a plus
