Description
The Office Administrator is responsible for ensuring the smooth and efficient operation of the corporate office. This role involves managing administrative tasks, coordinating office activities, and providing support to senior management and staff. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced corporate environment.
Key Responsibilities:
1. Office Management:
o Oversee the day-to-day operations of the corporate office.
o Maintain office supplies inventory and place orders as needed.
o Ensure the office environment is clean, organized, and professional.
o Manage office equipment maintenance and repairs.
2. Administrative Support:
o Provide administrative support to senior management and staff, including scheduling meetings, managing calendars, and preparing documents.
o Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
o Organize and maintain filing systems, both physical and digital.
3. Communication and Coordination:
o Act as the primary point of contact for internal and external stakeholders.
o Coordinate travel arrangements and accommodation for staff and executives.
o Assisted in planning and organizing corporate events, meetings, and conferences.
4. Financial and Record-Keeping Tasks:
o Process invoices, expense reports, and reimbursements.
o Assist with budget tracking and financial record-keeping.
o Maintain confidentiality of sensitive information.
5. Human Resources Support:
o Assist with onboarding new employees, including preparing workspaces and organizing orientation schedules.
o Maintain employee records and ensure compliance with company policies.
6. Health and Safety Compliance:
o Ensure the office complies with health and safety regulations.
o Coordinate emergency procedures and drills.
Qualifications:
• Education:
o High school diploma or equivalent (required).
o Bachelor’s degree in business administration or related field (preferred).
• Experience:
o 3+ years of experience in an administrative or office management role, preferably in a corporate setting.
• Skills:
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Strong organizational and time-management skills.
o Excellent verbal and written communication skills.
o Ability to multitask and prioritize tasks effectively.
o Attention to detail and problem-solving skills.
o Knowledge of office equipment and basic financial procedures.
