Description

Job Description – Secretary (Domestic Manpower Office – Bahrain)

Responsibilities:

• Manage daily front-office operations, including welcoming visitors and handling phone calls.
• Maintain and update client files, candidate records, and office documentation in an organized manner.
• Prepare and process contracts, agreements, and documents related to domestic manpower recruitment.
• Coordinate with clients, agencies, and candidates regarding appointment schedules, interviews, and follow-ups.
• Handle data entry, filing, scanning, and proper archiving of all office documents.
• Assist in preparing reports, correspondence, and official letters as required by management.
• Manage incoming emails, inquiries, and service requests professionally and promptly.
• Maintain office supplies inventory and ensure availability of necessary materials.
• Support management in daily administrative tasks and ensure smooth office workflow.
• Ensure compliance with Bahrain Labour Market Regulatory Authority (LMRA) procedures and documentation requirements.
• Track application progress, visa status, and candidate deployment updates in coordination with relevant departments.
• Handle customer service duties, including addressing client concerns and providing required information.
• Assist in preparing invoices, receipts, and maintaining basic financial records.

Requirements:

• Diploma or Bachelor’s degree in Business Administration or related field (preferred).
• Previous experience as a secretary or administrative assistant, preferably in a recruitment or manpower office.
• Strong communication skills in English and Arabic (written and verbal).
• Proficiency in MS Office (Word, Excel, Outlook).
• Good organizational skills and attention to detail.
• Ability to multitask and work under pressure.
• Professional appearance and customer-service oriented approach.
