Description
Secretary
The Secretary is responsible for the proper administration of the secretary office of the Engineering Department.
Wherein she provides all secretarial services for the members of the engineering team.
Key Responsibilities:
Provide secretarial services – for the engineering department like, pre-selection of incoming mail and requests according to priority and responsibilities and phone calls, office supplies procurement / administration, address management, professional journals and newspapers in circulation, organize and maintain a proper department filing system, verify the travel authorization.
Support the department managers – in his tasks, this includes to assistance in evaluation of documents; create, lead and interpret statistics, administration of presence-, vacation- and sick days, translating and care CV in the database, registration for trainings.
Work in the engineering team in a supporting role – to ensure the smooth running of the department operations, for example apply for work of ID cards, coordinate travel arrangements, hotel accommodation, claims etc.
Maintain the data of the specific business applications – starting from creating new employees in SMS database, requisitions in Oracle, verify the outstanding Timesheets in Clarity, care of training sessions, workshops and certificates in the employee database.
Active exchange – with the other Secretariat Division.
Other duties – perform other additional specific duties, when requested by the business.
Qualifications & Requirements:
Minimum 3 -5 years of experience in the respective industry. Must be an engineering graduate.
Secretarial qualifications (commercial apprenticeship or equivalent)
Fluent in English (speaking and writing skills)
Professional and pleasant personality with good written and verbal communication and interpersonal skills
Proactive, take initiative and well organized
Proficient in MS Office applications (Excel, Words, Access, Powerpoint and Outlook) is a must and experience in using Clarity, Oracle software is advantageous
Salary: upto 650BHD for an excellent candidate
